The HR Administrative Assistant provides high-level administrative support to the HR Director and plays a key role in ensuring the efficiency of daily HR operations. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, multi-state environment. Proficiency in cloud base payroll systems is essential for supporting HRIS functions and maintaining accurate employee records across various company locations.

Key Responsibilities:
  • Provide administrative support to the HR Director, including scheduling meetings, preparing reports, and coordinating communications.
  • Maintain accurate and up-to-date employee records, including new hires, terminations, promotions, and changes in benefits.
  • Assist with recruitment efforts, including posting job openings, scheduling interviews, and coordinating candidate communications.
  • Support the onboarding and offboarding process, ensuring all required documentation is complete and processes are followed.
  • Assist with benefits administration, open enrollment coordination, and employee communications.
  • Prepare and maintain HR-related reports, trackers, and compliance documents.
  • Coordinate and support employee training initiatives and maintain training records.
  • Respond to employee inquiries regarding HR policies, procedures, and benefits with professionalism and confidentiality.
  • Ensure compliance with federal, state, and local employment laws across multiple states.
  • Assist with audits, including pulling documentation and ensuring record accuracy.
  • Maintain filing systems both electronically and physically, ensuring organization and accessibility.
  • Assist with special HR projects and company-wide initiatives as needed.

Qualifications:
  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
  • 3–6 years of experience in an HR support or administrative role, preferably in a multi-state organization.
  • Proficiency with cloud-based payroll systems
  • Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent communication, interpersonal, and organizational skills.
  • High level of discretion and integrity in handling sensitive employee information.
  • Ability to prioritize tasks and handle multiple deadlines effectively.
  • Familiarity with employment laws and HR best practices.

Work Environment:
  • Office environment with occasional travel to job sites or other office locations.
  • May be required to work extended hours during peak HR periods (e.g., open enrollment, audit season).
