The HR Administrative Assistant provides high-level administrative support to the HR Director and plays a key role in ensuring the efficiency of daily HR operations. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, multi-state environment. Proficiency in cloud base payroll systems is essential for supporting HRIS functions and maintaining accurate employee records across various company locations.

- Provide administrative support to the HR Director, including scheduling meetings, preparing reports, and coordinating communications.
- Maintain accurate and up-to-date employee records, including new hires, terminations, promotions, and changes in benefits.
- Assist with recruitment efforts, including posting job openings, scheduling interviews, and coordinating candidate communications.
- Support the onboarding and offboarding process, ensuring all required documentation is complete and processes are followed.
- Assist with benefits administration, open enrollment coordination, and employee communications.
- Prepare and maintain HR-related reports, trackers, and compliance documents.
- Coordinate and support employee training initiatives and maintain training records.
- Respond to employee inquiries regarding HR policies, procedures, and benefits with professionalism and confidentiality.
- Ensure compliance with federal, state, and local employment laws across multiple states.
- Assist with audits, including pulling documentation and ensuring record accuracy.
- Maintain filing systems both electronically and physically, ensuring organization and accessibility.
- Assist with special HR projects and company-wide initiatives as needed.
- Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
- 3–6 years of experience in an HR support or administrative role, preferably in a multi-state organization.
- Proficiency with cloud-based payroll systems
- Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent communication, interpersonal, and organizational skills.
- High level of discretion and integrity in handling sensitive employee information.
- Ability to prioritize tasks and handle multiple deadlines effectively.
- Familiarity with employment laws and HR best practices.
- Office environment with occasional travel to job sites or other office locations.
- May be required to work extended hours during peak HR periods (e.g., open enrollment, audit season).
